Overview of the Function
The Case Assistant supports the attorneys and paralegals on the litigation team when necessary and performs all duties at the direction and under the supervision of the case manager.
Role summary/purpose of job
The Case Assistant plays a supporting role and works closely with litigation team to prepare cases for litigation, trial, arbitration, and/or resolution. The individual will: assist in organizing, preparing, and filing legal paperwork; provide administrative support during trials and litigation; respond to the needs of clients; and other support duties as required by the legal team as necessary.
Key responsibilities and deliverables
- Create and organize attorney binders (paper and electronic)
- Monitor and setup client alerts in specialized media (CNS, Bloomberg Law)
- Draft general shell pleadings for attorney use and reference
- Create and finalize TOC/TOA for Court e-filings
- Finalize and e-file Court document for legal team
- Run and prepare fact research for legal team reference (Bloomberg Law, CNS, Westlaw, Lexis, Intelligize, Rocketreach, Pacer, File & ServeExpress)
- Hearing and/or trial prep
- Maintain and organize case files and correspondence (iManage, Google Drive, One Drive)
- General case and records management
- Instruct and follow through with outside vendors for legal team request
- Distribute documents and key correspondence with insurance brokers as requested
- Prepare and update chart of D&O insurance policies and structure for legal team
- Provide and update litigation tracker for legal team and client
- Coordinate with US Managing attorney team regarding CompuLaw legal team calendar deadlines and notifications, etc.
- Other responsibilities as assigned
Key requirements
- Bachelor’s degree preferred
- 0-1 years of experience
- Enthusiastic, pro-active, self-motivated, flexible
- Ability to maintain confidentiality of sensitive matters and respond effectively to such situations
- Ability to multi-task and prioritize in a fast-paced environment
- Decisive, maturity of judgment
- Strong organizational skills
- Excellent attention to detail
- Strong proofreading ability
- Ability to communicate professionally and create a friendly rapport with partners, associates, and clients
- Respond quickly and accurately on email and/or Microsoft Teams
- Foreign language a plus (particularly Spanish)
- Proficiency in Microsoft Office and Google Docs
- Experience with database searching and use
- Must be willing to and interested in working overtime hours, including nights and weekends on short notice with some ability or desire to travel
For individuals assigned and/or hired to work in New York and California or reporting to someone in those states, Freshfields is required by law to include a reasonable estimate of the compensation range for this role. This compensation range is specific to the States of New York and California and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $60,000 to $70,000.
